Exhibitor Manual
Our goal is to make sure you have a great show. We know that your WIRED LIVE experience began the second you started talking to one of our team members and will continue well beyond the last day of the show.
The guide is designed to help you have the best possible show, save some Benjamins along the way and give you a few suggestions that we hate to call rules (but at the end of the day, they technically are rules).
And while you're going through the following information, if something doesn't make sense, you think you might be the exception to the rule, you need to request a variance of some sort or you have a question of any kind on any subject (well, almost any subject), don't hesitate to raise your hand and ask!

General Directions To Facility
- Link to directions from various starting points.
From Ronald Reagan National Airport
- Take the George Washington (GW) Parkway north to I-395 and Washington, DC.
- Follow signs towards the 14th Street Bridge.
- Proceed across the 14th Street Bridge to Independence Avenue.
- Turn right onto Independence Avenue and proceed 2 blocks to Mt. Vernon Place.
- Turn left on Mt. Vernon Place.
- The Walter E. Washington Convention Center will be on your right.
Dock Access
- Located on "M" Street between 7th and 9th streets.
- BE SURE TO TURN IN THE DRIVEWAY FOR HALL C
Public Transportation
Parking
There is no parking available at the Convention Center; however there are several lots located nearby. If you have an oversized vehicle (box truck, trailor, RV, etc.), some lots may be willing to accommodate you and charge by parking spot/# of days used. Arata Expositions has a marshaling yard located in Gaithersburg, VA that may be a better option. Rates and information are located in the service kit.

Food & Beverage/Catering in Your Booth
Centerplate/NBSE is the executive provider of food and beverages served inside the Washington Convention Center and can provide you with custom menus for any catering needs you may have for your booth. Exhibitors are welcome to offer samples that are 2-3 ounces in size. If you have any questions, contact Centerplate or Show management (contact info can be found in the Vendor Services Directory).
Sales Tax
All exhibitors selling goods on the show floor are required to pay sales tax to the District of Columbia within 30 days of the last day of the show. As Show Management, we're obligated to provide the DC Office of Tax and Revenue our final exhibitor list with contract information for each exhibiting company. Because we know you'll want to get a head start on that oh-so-fun paperwork, here's a
link to what Uncle Sam will be sending you. Please be aware, as SHow Management, we have our own tax forms to fill out; as much as we'd like to help, each exhibitor will be responsible for submitting their own forms.
Quick Facts/Rates for Exhibiting at WIRED LIVE
The following information (and order forms for respective services) can be found in the Exhibitor Service Kit. What's below is intended to help you determine the planning of your booth set-up, staffing, labor, etc. Most services have an advance discount rate. Being the smart exhibitor you are, we don't need to tell you that ordering before publishing deadlines will save you a few bucks. Labor is another one of those things where planning ahead will help to keep your wallet intact. Avoiding overtime is the easiest way to accomplish this and the easiest way to avoid OT is to understand when it applies.
Display Labor
Exhibitors MAY set up their own display IF it can be done within an hour and without the use of power tools. Exhibitors also have the right to arrange and install their company products within their displays. If you need more than and hour and/or power tools, union labor is required. Here are the rates:
Straight Time:
8am - 4:30pm Monday through Friday
$85.00 per man/per hour (ORDERED BEFORE Nov. 9)
$110.50 per man/per hour (ORDERED AFTER Nov. 9)
Overtime:
Between 4:30 pm and 8am Monday through Friday; All day Saturday and Sunday
$143 per man/per hour (ORDERED BEFORE Nov. 9)
$185.90 per man/per hour (ORDERED AFTER Nov. 9)
Labor is billed in half hour increments with a minimum charge of one hour per person.

Freight
Arata Exposition is responsible for managing the unloading and loading of all trucks and trailers (commercial and common carriers). We know that these costs can add up quickly and in addition to the standard hand carry rules, we've also negotiated a cartload service with Arata to help keep your costs down. (See below).
Hand Carry
This is pretty self-explanatory. Exhibitors can bring in their own materials from a privately owned vehicle (POV) limited by what one person can carry in one trip. Sorry, you CANNOT use any type of dolly, hand cart, pallet jack or other material handling equipment.
Cartload
Privately owned vehicles, cars, small vans, pick-up trucks, or company-owned trucks with trailers no greater than 12' in total length may be eligible to use cartload service. Each cart will handle a load approximately 3' wide, 5' long, 3' high. Due to safety reasons, it will be at the discretion of the Freight Supervision whether or not the load can be higher than 3'.
Drayage
This is defined as the transportation of goods from the dock area to your booth. This service is provided by the show-appointed contractor and the cost is determined by the hundred weight (1 cwt) of the shipment. There is a MINIMUM charge of 200 pounds (2 cwt) per shipment. You will save the most money by consolidating shipments and avoiding multiple loads that weigh less than 200 pounds. Avoid shipments that are paid-wrapped or require special handling. A good rule of thumb is that if it can't be easily handled by a forklift or flat cart there's a good chance it will incur special handling fees. If you're unsure whether or not your shipment falls into this category, check with your logistics company or Arats for more information.
Advance Warehouse: $85.00 per 100 pounds (cwt) RECEIVED BEFORE Nov. 2nd
Showsite: $80.00 per 100 pounds (cwt) CANNOT be RECEIVED BEFORE Nov. 13th.
Remember, there's a 200 pound minimum on all shipments.

Electric
Electric service is provided by Hi-Tech Electric. They offer basic service from standard 5amp/120volt outlets to 3-phrase, 6amp outlets. If you need power, you're going to have to order it from them. While the effort may (or may not) be appreciated, a 250' extension cord from the front wall to your booth just won't work in this case.
Electric Labor
Most in-line booths do not require labor. Islands/stand-alone booths or booths with multiple drop locations will incur a labor charge.
Straight Time:
8am - 4:30pm Monday through Friday
$91.00 per man/per hour
Overtime:
Between 430 pm and 8am Monday through Friday; All day Saturday and Sunday
$174 per man/per hour.

Internet
Complimentary Wi-Fi access is available throughout the convention center in all public access areas. Once you're on the show floor, the free stuff is no more and you'll have to pay to access the building's wi-fi service. When you access the internet from your laptop or other devices, a page will open requesting billing information.
$16.95 per hour or $99.95 per day (24-hour access).
For event-critical connections, Smart City recommends hard-line internet access.
NetPremium basic shared ethernet service with one (1) static public IP address: $1195

Exhibitor Badges
Be sure to register your booth staff for the show!

Every exhibitor will need an exhibitor badge to access the show floor. Before and after show hours, you may be asked to show your badge if it's not visible. This isn't meant as an invasion of privacy. It's to help ensure security on the floor and protect exhibitors' property.
Exhibitors will be allowed access to the show floor (1) hour prior to show opening and 30 minutes after show close.
Certificate of Insurance
We need to have a copy of your Certificate of Insurance (COI) Prior to Exhibitor Move-In.
In many cases, your current insurance provider can issue a COI with the following requirements:
General Liability Insurance with limits at least $1,000,000 per occurrence/$2,000,000 aggregated
Effective Dates: November 13 - November 19, 2012
Marketplace Events LLC and the Washington Convention Center should be listed as additional insureds
